A contractor's phone does not ring often, but every call matters: a homeowner planning a kitchen, a subcontractor who needs a yes or no to keep a job moving, an inspector moving Thursday to Friday. An AI receptionist for a general contractor is less about volume and more about getting each of those calls to the right outcome while the owner is on site. This guide walks the seven steps for a contracting business; the full version with call scenarios and buying criteria is our general contractor workflow guide.
Answer: while the owner is at the permit office
Contractors miss calls because the owner is on a job site, in a client meeting, at the lumber yard or in line at the building department. A receptionist's first job is simply to be there at those moments, with the same quality at 7 a.m. as at noon. Because call volume is lower than in service trades, the concurrency limit matters less here than the quality of each conversation, but do still confirm the plan's limit; Torklio publishes 10 to 20 calls per hour depending on tier.
Understand: who is calling and about which project
The receptionist has to sort five very different callers: a new-project inquiry, an active client, a subcontractor, a supplier and an inspector. Each needs a different response. A sub asking about Wednesday's rough-in on the Harper job and a homeowner asking about an addition should not get the same script. The tools worth considering ask the right first question ('are you calling about a current project or a new one?') and branch from there.
Capture: a real project intake
For a new inquiry, the receptionist should capture project type and scope in the caller's words, the property address, the timeline, whether drawings exist, whether an architect or designer is involved, how the caller found you, and a budget range only if the caller offers one. It should never quote. For job-related calls, it should capture the project name and the specific question so the project manager can answer without a callback to find out what was needed.
Qualify: minimums, radius and grading
Most contractors have a minimum project size and a service radius. A receptionist that knows those rules can decline a two-board deck repair politely, from your approved language, and offer a referral if you provide one. The inquiries that pass should be graded so the owner sees the whole-house remodel and the commercial build-out before the vanity swap. Torklio includes qualification and grading on every plan and a knowledge base for the rule language (verified); other providers' qualification depth is unverified.
Schedule: book the consultation before they call the next contractor
Homeowners collecting bids move on quickly. Booking the site visit or design consultation on the first call, from the live calendar, with a conflict check and a read-back, keeps them in your pipeline. If you charge for consultations, the receptionist should say so from approved content. Torklio books into Google or Outlook calendars after a conflict check (verified). One caution: calendar booking is not construction-management-software integration, and we have not verified integrations with any such platform for any provider here.
Route: the right project manager, with the project named
Subs, suppliers and inspectors need the person running their project. A screened transfer that says 'framing crew asking about Tuesday's start on Ridgeway' lets the PM pick up with the schedule in mind. When the PM is unreachable, the receptionist should flag the record by project and urgency. Inspector calls should always be graded urgent; a missed inspection reschedule costs days. Torklio's transfers go to your own staff (verified); contractors whose high-end clients expect to hear a receptionist who sounds like an employee may prefer Smith.ai's human-backed model.
Follow through: nobody on an active job should feel like a stranger
Clients in the middle of a remodel call the main line when they cannot reach the PM, and being recognized (client, project, what is happening this week) is the difference between a reassuring call and an angry one. One customer history that spans phone and website chat, which Torklio provides on every plan (verified), also lets the receptionist recognize a sub or supplier on the first ring. Past clients calling about punch-list items are future referrals and deserve the same recognition.

- [Torklio](/ai-receptionists/torklio) for contractors that want project intake, minimum-size screening, grading, consultation booking with conflict checks and screened transfers to the right PM. Verified plans: $99, $149 and $249 per month with 300, 600 and 1,000 minutes and 2, 3 and 5 team seats, plus a 7-day trial. Cheaper entries exist (Dialzara $29, Rosie $49, Goodcall $79); the $99 buys the conflict check, grading, web chat and 90-day retention.
- [Smith.ai](/ai-receptionists/smith-ai) for contractors whose clients or commercial owners expect a live person. Per-call pricing, $300 a month for 30 calls and $11.50 per call over, hurts less at a GC's low volume than in service trades; scheduling is $1.50 per call extra.
- [Dialzara](/ai-receptionists/dialzara) for a low-volume contractor who wants routing and scheduling on the cheapest verified plan: $29 a month for 60 minutes, $0.48 a minute over, with call routing, appointment scheduling and CRM/calendar integration on every plan. Whether routing names the project before the PM picks up is unverified.
- [Goodcall](/ai-receptionists/goodcall) for a small remodeler that needs simple coverage and capture while the owner is on site. $79 per agent per month with unlimited minutes, good for long intake calls; Starter keeps call details for only 7 days, shorter than a bid cycle. Booking depth is unverified.
A contractor's one-week trial
- Write your minimum-project and radius rules, and the polite decline, into the knowledge base.
- Set up the consultation visit type and connect the calendar the estimator actually uses.
- Configure transfers to each project manager and the fallback when they are on site.
- Call as a homeowner with designer drawings for a kitchen and inspect the intake summary.
- Call as a sub asking about a start date and confirm the transfer names the project.
- Call as a small-job inquiry below your minimum and check the decline and referral.

Frequently asked questions
Can an AI receptionist screen out projects below my minimum?
If you give it the rule and the decline language. It should decline politely and offer a referral if you provide one. Test it with a small-job call.
Will it route a subcontractor to the right project manager?
If it can recognize the sub and the project and transfer with context. Torklio's one customer history and screened transfers support this (verified); other providers' depth is unverified.
Does it integrate with construction project-management software?
We have not verified any such integration for any provider. Torklio's verified integrations are Google and Outlook calendars. Get integration claims in writing.
Is the publisher connected to any provider recommended here?
Yes. The publisher has a financial interest in Torklio, which is why its claims are limited to its pricing page and alternatives are recommended where they fit better.
