The day an HVAC company needs its receptionist most is the day its receptionist is least able to keep up: the first heat wave, when sixty no-cool calls arrive in an afternoon and every technician is in an attic. Answer: the heat-wave test
Capacity is the first question. A receptionist that handles one call at a time is a voicemail with a nicer voice on the worst day of July. Ask for the concurrency limit on the plan you are considering. Understand: triage in four questions
Is the system running at all? What is the thermostat showing? When did it start? Is anyone in the home who cannot tolerate the heat or cold? Those four questions separate a true emergency from a maintenance request from a replacement inquiry, and they take thirty seconds. A receptionist that skips them and jumps to 'what day works for you' has not understood the call. Also watch for the replacement inquiry hiding inside a repair call: 'it's fifteen years old and this is the third repair' is a sales lead, not a service ticket.
Capture: what the technician needs in the truck
System type (split, heat pump, mini-split, furnace, boiler), rough age, brand if visible, the symptom, the service address with gate or access notes, and whether the caller is on a maintenance plan. The receptionist should read the address back. A wrong street number on a summer emergency costs a truck an hour and a customer their patience. Evaluate demos by looking at the dispatcher's summary: separate fields mean the tool did this step; a transcript means your dispatcher is still doing it.
Qualify: grade the queue
Eleven no-cool calls in the dispatcher's inbox are useless without a sort order. Grading, where the receptionist assigns priority based on what it learned (vulnerable occupant, plan member, replacement inquiry, commercial account), is what lets the dispatcher work from a plan instead of from timestamps.
